When communicating face-to-face with someone, we perceive messages from others according to the following:
55% from body language
38% from their tone of voice
7% from their actual words
In the world of email, visual and aural cues are non-existent. Therefore, conveying your message correctly is important for successful communication.
Any email message should put the following items into consideration:
1. Have You Spcified the email's purpose?
Don't send an email that leaves the receiver(s) guessing what it is you want.
2. Have you provided all the ncessary information?
Missing or unclear information is usually the reason for communication disasters.
3. Have you made a specific request?
If you have made a request, did u include instructions or a description of what you need? This may be important
4. Have you specified when you need a reply?
If you need a reply, say when and how.
Remember that you only have words: Be cautious about what the tone of your message may imply. Remember that the receiver can't see your facial expressions or hear your tone of voice.
When replying to an email, try using the same terminology and language that the sender uses. This is to make sure that you understand each other clearly and there is no mix up about what the message pertains to. This also builds rapport with the sender
